GENERAL 

Q. What are the official dates of the WV Statewide Technology Conference (WVSTC) 2025? 

A. The official conference dates are Wednesday, October 15, 2025, through Thursday, October 16, 2025. 

 

Q. Where is the WVSTC 2025 located? 

A. Oglebay Resort in Wheeling, WV 

 

Q. Are there accommodations for people with disabilities and those requiring special assistance? 

A.. If you require special assistance or other reasonable accommodations to fully participate in this event, please contact Harmony Garletts at hgarletts@staff.wvnet.edu or Cristina Shannon at cmoody@staff.wvnet.edu or call WVNET at 304-293-5192. 

 

Q. Do I need to carry my badge with me during the conference? 

A. Yes. Not only does it let others know who you are and where you reside from, but it will be scanned at breaks and meals to choose door prize winners. 

 

REGISTRATION 

Q. What are the registration fees?

Attendee Fees: 

$250 – Super Early Bird Registration (End date: May 1, 2025) 

$350 – Early Bird Registration (End date: June 1, 2025) 

$450 – Regular Registration (End date: October 16, 2025) 
 

Presenter Fees (must have received Acceptance Email): 

$100 – Registration


Group Registration 

$200 per person (minimum of 5 attendees) – Registration (need date) 

 

Q. What is included in my full conference registration fee? 

A. Full conference registration for WVSCT 2022 includes: 

  • All concurrent, in-booth and poster sessions
  • Access to engaging keynote speaker
  • Complimentary lunch on Monday and Tuesday in Exhibitor Hall
  • Two-day (Wednesday and Thursday) access to the Exhibitor Expo in Exhibit Hall
  • Wednesday afternoon snack and beverage breaks
  • Breakfast on Wednesday and Thursday
  • Thursday afternoon Exhibitor Reception
  • Lunch at Thursday’s Celebration of 50 Years of Innovation

 

Q. Can I register on site? 

A. On-site registration is available beginning at 8:00 am on Monday, March 24th. Conference T-shirt will be ordered on June 23rd. If you register after this date, there may be the possibility that you will not receive any of the SWAG. Check back at the end of the conference to see if any is available. 

 

Q: What methods of payment do you accept? 

A.  We will accept a PO, credit card (Visa, MC, Discover, AMEX) or check payable to WVNET. Select your preferred method in the registration process. 

 

Q. If paying by PO, where do I send the PO? 

A. Steps for submitting a PO are: 

A copy of the PO must be received by July 8, 2022. 

Please include your registration number on the purchase order.

Q. What if I need to pay by check?

Q. If I will be using FY25 money to pay for registration, how can I request an invoice prior to June 30th? 

A. Please let Phil Snitz – psnitz@staff.wvnet.edu - know when you send your PO that you need an invoice before June 30th. 

 

Q. How do I modify my registration (e.g., edit my name, add or remove a pre-conference workshop, edit payment method)?

Q. Can I transfer my registration to someone else if I cannot attend? 

A. To make a substitution, email psnitz@staff.wvnet.edu or hgarletts@staff.wvnet.edu. This will simplify the transfer process and expedite registration.

Q. Can I opt to attend only one day of the Conference? 

A. Yes. Day rates are $150 per day and includes meals and snacks for that day. 

 

PRE-CONFERENCE/GENERAL SESSIONS 

Q: Can I be a presenter? 

A. Yes, if you submit a proposal and the conference committee selects it. If accepted, you will receive an acceptance email. A discounted registration fee of $100 will be awarded to all attendees that submit a proposal and have it accepted to be presented. If there are multiple presenters, only one (1) discounted registration per presentation will be offered. 

 

Q. What should I do if the session I would like to attend is full? 

A. WVSTC suggests that you arrive at the assigned meeting room at least 10 minutes prior to the start of the session to obtain a seat. Be sure to note alternate sessions you would like to attend during a particular time slot in the event your first choice is full. All session rooms are intended to help foster a creative learning environment and are set to the maximum number of seats allowed per the fire marshal. If the session is full, please make your way to the alternate session. 

 

MISCELLANEOUS

Q. May I use my mobile phone during the conference? 

A. As a courtesy to presenters and other attendees, we ask that you kindly turn off your mobile phones or set them to vibrate during sessions and keynote presentations. Please quietly exit the room to attend to important phone calls. 

 

Q. Are there places to charge mobile device? 

A. Each concurrent session room will have a charging station.  You will need to provide the cable compatible to your device. Please remember to take your device and cable with you when you. move on to the next session. Please do not leave your device unattended. 

 

Q. Will my photo be taken during the conference? 

A. WVSTC takes photographs during its meetings and events for use in newsletters, and other promotional materials, whether in print, electronic, or other media, including the WVSTC conference website. By participating in this conference you grant WVSTC the right to use your name and photograph for such purposes. 

 

Q. How do I modify or cancel my hotel reservation? 

A. You are responsible for modifying/cancelling your hotel reservation by calling the hotel directly. 

 

Q. Where is the location of the Lost and Found? 

A. Please check with the registration desk in Lobby of Oglebay Resort. 

 

Q: Can I use my own Wi-Fi? 

A. We ask that you turn yours off to reduce interference with our Wi-Fi service. The Conference SSID and Password will be printed on the back of your badge. 

 

Q: Is there a fee to park for WVSTC 2025? 

A. Parking is included for attendees who stay at the Oglebay Resort. 

 

Q: When and where is WVSTC 2026? 

A. The WV Statewide Technology Conference (WVSTC) 2026 TBA.
